Privacy Policy

We only collect what you choose to give us. When you submit our contact form or vehicle sourcing form, we collect your name, email address, and (if you provide it) your phone number, along with the details of your request — budget, preferred make and model, minimum year, maximum mileage, transmission, fuel type, desired features, enquiry type and any message you write.

For security purposes we also record a one-way encrypted fingerprint derived from your IP address and browser when a form is submitted. This cannot be reversed to identify you; it exists solely to detect and block automated spam submissions.

We do not use advertising cookies or third-party tracking pixels on this site, and we do not collect payment card details through this website.

To respond to your enquiry. We use your contact details and vehicle requirements to reply, source vehicles matching your brief, and discuss options with you. Our legal basis is the steps taken at your request prior to entering a contract, and our legitimate interest in responding to enquiries.

To protect the website. We use the spam fingerprint and submission records to prevent abuse of our forms. Our legal basis is our legitimate interest in keeping the service secure and available.

To meet legal obligations. Where a sourcing arrangement proceeds, we may need to retain records to comply with tax, accounting and anti-money-laundering requirements.

We do not send marketing emails unless you have asked us to, and we never sell or rent your personal information to anyone.

Your information is handled by the K's Kar Sourcing team and by the service providers that run this website on our behalf: our hosting and database provider, and our transactional email provider, which delivers the notification containing your enquiry to our inbox. These providers process data only on our instructions.

Where you ask us to arrange finance or a specific vehicle, we will share only the details necessary with the relevant lender, dealer or vendor — and we will tell you before we do so. We may also disclose information where we are legally required to.

Enquiries are kept for up to 24 months from your last contact with us, so we can pick up a conversation where it left off, then deleted. Where a purchase or sourcing contract completes, associated records are kept for six years to satisfy UK tax and accounting requirements. Spam-prevention records are kept for a short rolling period and then removed.

Enquiries are stored in an access-controlled database. Only authenticated K's Kar Sourcing staff accounts that have been explicitly granted permission can view them — access is enforced at the database level, not just in the interface. Data is encrypted in transit over HTTPS.

Under UK data protection law you have the right to ask us for a copy of the personal information we hold about you, to have it corrected or erased, to restrict or object to how we use it, and to receive it in a portable format. Where we rely on consent, you can withdraw it at any time.

To exercise any of these rights, email kskarsourcing@protonmail.com. We will respond within one month. If you are unhappy with how we have handled your information, you can complain to the Information Commissioner's Office at ico.org.uk.

This site uses only essential cookies and equivalent local storage needed to keep the site working and to keep staff signed in to the internal enquiry dashboard. We do not use analytics, profiling or advertising cookies, so no cookie consent banner is required.
